This Privacy Policy explains how Swiftleads AI, Inc. DBA LeadTracker AI collects, uses, stores, and protects information when you use LeadTracker AI.

1. Information We Collect

We collect information you provide directly to us and information generated through your use of LeadTracker AI, including:

• Contact information such as name, email address, phone number, business address, and account credentials.
• Business information such as company name, role, team membership, pipeline data, lead records, call notes, tasks, appointments, and sales activity.
• Communication data such as call metadata, call recordings where enabled, transcripts, SMS, WhatsApp, email activity, voicemail activity, meeting notes, and AI-generated summaries.
• Billing, plan, usage, and support information.
• Technical information such as IP address, device, browser, logs, cookies, and usage analytics.

2. How We Use Information

We use information to provide, secure, support, and improve LeadTracker AI, including to:

• Operate CRM, dialer, messaging, appointment scheduling, AI receptionist, analytics, coaching, automation, and reporting features.
• Authenticate users, administer workspaces, enforce permissions, and protect against fraud, abuse, and unauthorized access.
• Process transactions, meter usage, provide support, and send service-related notices.
• Analyze product performance, troubleshoot errors, and improve reliability and user experience.
• Comply with legal obligations and enforce our agreements and policies.

3. Google Calendar and Google Account Data

LeadTracker AI lets users connect Google Calendar so the platform can show accurate availability, avoid scheduling conflicts, create meetings, update meetings, and cancel meetings from inside LeadTracker AI.

When you connect a Google account, we may request access to the following Google user data, depending on the features you enable:

• Basic Google profile information, such as your name and email address, to identify the connected calendar account.
• Calendar list and calendar metadata needed to let you choose which calendars should be checked for availability or used for bookings.
• Free/busy information to identify unavailable times and prevent double booking.
• Calendar event information needed to create, read, update, or cancel LeadTracker AI-related appointments.
• OAuth tokens, including refresh tokens where provided, so LeadTracker AI can keep calendar sync working until you disconnect the integration or access expires.

We use Google Calendar data only to provide calendar connection, availability, scheduling, conflict prevention, booking, rescheduling, cancellation, reminders, and related support features inside LeadTracker AI. We do not sell Google user data. We do not use Google Calendar data for advertising. We do not allow humans to read Google Calendar data except where needed for security, support, legal compliance, or with your permission to troubleshoot an issue.

LeadTracker AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Microsoft Calendar Data

If you connect Microsoft calendar services, we use Microsoft account, calendar, free/busy, and event data for the same scheduling purposes described above: availability, conflict prevention, booking, rescheduling, cancellation, reminders, and support.

5. Communication Consent

LeadTracker AI includes voice, SMS, WhatsApp, email, and appointment reminder tools. Customers are responsible for ensuring they have the proper legal basis and consent to contact their leads, prospects, customers, and team members through these channels. Standard message and data rates may apply.

6. How We Share Information

We may share information with:

• Service providers and subprocessors that help us host, secure, operate, support, bill, communicate, and improve LeadTracker AI.
• Calendar, CRM, telephony, messaging, payment, and email providers when you choose to connect or use those services.
• Workspace administrators and authorized team members according to your workspace roles and permissions.
• Law enforcement, regulators, courts, or other parties where required by law or necessary to protect rights, safety, and security.
• Successors in connection with a merger, acquisition, financing, reorganization, or sale of assets.

We do not sell personal information or Google user data.

7. Data Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. No system is perfectly secure, and we cannot guarantee absolute security.

8. Data Retention and Deletion

We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support business operations. Calendar OAuth tokens are retained while the calendar connection remains active. You can disconnect a calendar from LeadTracker AI, which stops future sync for that account and removes the stored connection credentials from active use.

You may request access, correction, export, or deletion of personal information by contacting us at privacy@swiftleadsai.com. Some information may be retained where required by law, security, fraud prevention, billing, backup, or legitimate business recordkeeping obligations.

9. Your Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information, and to withdraw consent where processing is based on consent. To exercise these rights, contact us at privacy@swiftleadsai.com.

10. Cookies and Similar Technologies

We use cookies and similar technologies to keep users signed in, remember preferences, secure sessions, understand usage, and improve the service. You can control cookies through your browser settings, but some features may not work correctly without them.

11. International Transfers

LeadTracker AI is operated from the United States. If you use the service from outside the United States, your information may be processed in the United States and other countries where our service providers operate.

12. Children

LeadTracker AI is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. If changes are material, we may provide additional notice through the service or by email.
